Business Support Officer

About the role

We are looking for enthusiastic, highly motivated individuals with very good organisational skills who are keen to learn and develop. We are building the organisation from scratch and need motivated people to join us who want to make a difference and are energetic, resourceful and solution focused.

What will you do?

  • Prepare written responses to internal/external enquiries in a timely way, ensuring they are clear, accurate and tailored to the needs of their audience.
  • Action relevant follow up work from meetings, advising staff of their allocated actions and following up and escalating where needed.
  • Audit the team’s electronic filing systems ensuring relevant documents are stored correctly.
  • Keep the content of the team’s intranet pages up to date with support from the communication team.
  • Prepare written responses to internal/external enquiries in a timely way, ensuring they are clear, accurate and tailored to the needs of their audience.
  • Provide support for internal and external meetings by preparing agendas, collating and circulating documents, formatting presentations and spreadsheets, and taking minutes.
  • Maintain and audit folders and databases to ensure safe and accurate storage, including filing and archiving, of information and files.
  • Manage general inboxes.
  • Support conferences, meetings or training events including bookings, arranging travel and accommodation.
  • Maintain databases, carry out recording, filing and archiving of information as required.
  • Co-ordinate and support internal processes.
  • Proactively communicate to ensure questions and queries are addressed in good time and escalate as necessary.

What are we looking for?

  1. Experience of providing administrative or project support.
  2. Ability to draft documents and take minutes of meetings.
  3. Ability to work autonomously and collaboratively with others.
  4. Good team player able to work with others to achieve a shared goal
  5. Excellent attention to detail.
  6. Ability to maintain a professional approach and experience of working with confidential information
  7. The ability to solve problems and think creatively.
  8. Ability to produce and present information as understandable reports and advice relevant to different audiences.
  9. Strong literacy and numeracy skills
  10. Competence in MS Office software – Word, Excel, PowerPoint, SharePoint.
  11. Ability to organise and prioritise own workload in order to meet tight deadlines.
  12. Respectful, professional, open and honest behaviour including a demonstrable commitment to inclusion and diversity.

Selection process

Interview

Interviews will take place in Sheffield on Tuesday 3 September and Wednesday 4 September 2019.

Interviews will seek to further understand your skills, knowledge, experience and motivation and test the key competencies of the role:
